  • What is a Plug & Play Office?
    When deciding on the type of office space that is best for your company, there are lots of different options. Whether you’re looking for a large space, a small space, a long or short term lease, a good location, or a competitive price, there is something out there for every business need. However, what if you’re looking for something with a bit more flexibility? Something that doesn’t require a large initial investment or a long term lease? This is where virtual offices or “plug & play offices” can be a great option.
  • Who needs a Plug & Play Office?
    Almost every company needs office space at some point. Whether your company is going through a growth period, or you’re downsizing, or you’re just starting out and want to establish your credibility with clients, a virtual office is an excellent place to start. Entrepreneurs and small business owners frequently make use of these ready-to-go offices because of the affordability and the flexible lease options.
  • What are the Advantages?

  • How many people can your meeting rooms accommodate?
    We have a variety of room sizes and most of our workspaces have rooms for up to 21 people. However we can accommodate groups of almost any size on request.
  • What's included?
    All our meeting rooms can be booked by the hour and are equipped with facilities to help your session go smoothly, including a whiteboard or flipchart. Our on-site team will greet your guests and ensure you have everything you need, with your room set up just as you want it. All our rooms have business-grade conference phone technology, including high-speed internet, with screens and projectors available if required.
  • What services do you offer as an extra?
    When you make your booking, you can choose to add teas and coffees for your meeting, and any presentation or videoconferencing equipment you need. We can also arrange catering for you – just let us know at least 24 hours in advance. If you need any technical support, we can arrange for our on-site team to help you set up AV equipment, and any printing, scanning or admin services you might need.
  • How do I book a room?
    You can book your room online, or download our app and book on the move. Or if you want help finding the perfect venue, get in touch and our experienced advisers will help you find the ideal room, and arrange for you to visit the space if you want.
  • Can I rearrange my room layout?
    All our spaces can be customised, so you can configure your room to suit your business requirements. If there’s something in particular you’re looking for, please let us know when you book, or contact the on-site team in advance and we’ll be happy to help.
  • Will someone be there to greet my guests?
    Yes, our friendly team will welcome your guests at reception and direct them to your meeting room. They’ll also prepare your room and be on-hand to ensure everything runs smoothly on the day.
  • Do you offer drinks or catering?
    We can make sure your guests are refreshed with food or drinks - add teas and coffees when you book. Our on-site team can also arrange catering to your requirements – just let us know at least 24 hours before your meeting.
  • What happens if my meeting overruns, or I need the room for longer?
    If there are no other bookings after yours, you can use the meeting room for as long as you like that day – we’ll update the checkout time and cost.
  • How early can I, or my guests, arrive for the meeting?
    You are welcome to wait in the reception area up to 30 minutes before your meeting room booking starts. You may be able to access the room earlier than your booking time if there are no other bookings – just speak to the reception team at your chosen workspace.
  • What is your cancellation policy?
    You can cancel your meeting room booking for free, if it is done within two hours of you making your booking, or more than 20 working days before your room booking. - If you cancel your room booking up to 4 working days before your booking, the full fee will be payable. - If you cancel a meeting room booked for 11-20 people with 9 or fewer days’ notice, the full fee will be payable. - If you cancel a meeting room booked for more than 21 people with 19 or fewer days’ notice, the full fee will be payable.
  • Is a virtual office a physical space?
    A virtual office isn’t a full-time workspace for your business. With our virtual office packages, you register your business at one of our workspaces and your company benefits from having a prestigious address in a leading location. All our business addresses belong to real workplaces. If you need a physical space to work, you can choose a virtual office package to access our global network of business lounges and work there whenever you want. With our Virtual Office Plus package, you can work from an office or coworking desk for five days each month. Alternatively, our office or coworking membership give you access to a private office or coworking desk as often as you need.
  • How often will my mail be forwarded?
    With our mail-forwarding service, you can choose to receive your mail daily, weekly, or monthly, rather than collecting your mail in person.
  • Will receptionists answer the phone in my company name?
    With our phone answering service, our professional receptionists will answer your calls in your company name. They’ll transfer calls to you, or take messages on your behalf. If someone drops in to see you unexpectedly, they’ll let the visitor know you’re elsewhere that day.
  • What do I get with office or coworking membership?
    If you choose to take either an office or coworking membership, along with your virtual office package, you’ll be able to work from any workspace either five or ten days a month – or you can choose unlimited access. You simply book your coworking desk or private office, where and when you need it via our app.
  • How many days access a month do I get with my membership?
    If you join us with a lounge membership, you will have unlimited access to any of our business lounges whenever you choose. No need to book in advance - just drop in to any of our thousands of locations in city centres, business parks, transport hubs and service stations, worldwide. You can also choose a coworking or office membership for 5,10 or unlimited days a month. Don’t know how many days you’ll need? No problem, just register on the Regus account and book on-the-go through the app.
  • Do I need to book workspace in advance?
    Once you’ve registered, you can use an office, meeting room or coworking space as and when you need it by simply booking on our app. If you’re a coworking or office member, you can book in advance to secure a place, or just drop in whenever you need to work, during the location opening hours.
  • I only need to book workspace occasionally - why should I register?
    If you create an account, you’ll receive a 10% discount on all meeting room, office space or coworking bookings made via our app. You’ll also be able to see all your bookings and manage payments through your account.
  • With office and coworking membership, can I keep using the same private office for consecutive days?
    We can’t guarantee you will be able to use the same office over consecutive days as these are allocated on a first-come, first-served basis, but you can ask the on-site community team if they can help reserve the same office for you on the days you need. We’ll be happy to accommodate.
  • Can I roll any unused coworking and office days into the next month?
    Unfortunately not. Your days must be used within the month they are allocated.
  • Can I meet clients or bring a guest into a business lounge?
    Yes. You’re able to bring one guest per visit.
  • Can I change my membership after I’ve signed up?
    You can change your membership when it’s time to renew - just let us know. Or you can upgrade at any time.
  • Can I use a business lounge if I have a coworking or a private office booking on the same day?
    Yes, with all coworking and private office bookings, you have unlimited use of the business lounge.
  • When does my agreement start and end?
    You can start your agreement on any day of the month. Our billing periods align to calendar months so your first invoice will be billed pro-rata from your start date to the end of the month. All agreements end on the last day of a calendar month. For example, if you sign up for a 12 month agreement to start on 15 March, we will bill you pro rata from 15 March to the end of that month, then your 12 month agreement will run from 1 April until 31 March the following year. You’ll be billed each month.
  • What services do you offer as an extra?
    You have the option of adding on access to printing and scanning facilities, full call handling, mail forwarding, fresh tea and coffee, catering, completely customized office, furniture and equipment, and additional meeting room use.
  • I don’t want to commit to a long lease, can I still get an office space for my small team?
    We know small businesses often don’t want to make long-term commitments. Our flexible contracts allow you to take the space on whatever terms are right for you - from a few weeks to a few months. We also offer memberships that enable you to only pay for what you need.
  • Can we put our own stamp on our workspace, or do we have to have the decor and furniture that’s there?
    All our workspaces are designed with ergonomic furniture and simple decor, but we know how important it is to create a space that feels like your own. You can brand your space with your own logos, or for a more bespoke office, custom office allows you to shape your layout and furniture choices to reflect your unique business and culture.
  • We need to work from many different locations, can I have an office space wherever we need it?
    Yes. Our memberships allow you and your team to work without constraints. Wherever you need to work, there will be a private office waiting for you. Simply choose whether you want five, ten or unlimited visits per month.
  • I like the idea of working alongside other businesses, what option do you recommend?
    All our workspaces are home to a dynamic mix of businesses, with plenty of lounges and communal areas to break-out into, connect and network with others using the space. If you don’t want your own, private office space, you can take a dedicated desk (or however many you need) in a shared office and work alongside other businesses in the same room, or in an open-plan coworking area.
  • What’s the difference between coworking and office space?
    Coworking means a desk – or a number of desks – for you and your team, in a shared working environment. This can be in an open-plan space alongside other professionals, or within a room you share with other businesses. If you want a private office dedicated to you and your team, choose our office space. All our locations offer both, so you can choose the right way to work for your team.
  • What's included as standard?
    Your coworking desk space comes with a professional reception team, mail handling, high-speed WiFi, utilities, cleaning, maintenance, use of the business address, use of the communal kitchen with tea and coffee making facilities, two hours of community meeting room use a day, and unlimited access to our global network of business lounges – all in one simple inclusive price.
  • What services do you offer as an extra?
    With coworking, you have the option of adding on printing and scanning facilities, full call handling, mail forwarding, bean-to-cup coffee, customized furniture and equipment, and additional meeting room use.
  • I want to be able to work in different places – can I change location?
    Coworking is designed to be flexible. Our coworking membership options enable you to turn up and work wherever you want – on your doorstep, or on the other side of the world. Simply book space and pay on-demand, or choose whether you want five, ten or unlimited visits per month. Hot-desk, or take a dedicated desk in a single location, which we’ll happily move to another workspace for free if you need to change where you’re based.
  • What if I have a reserved desk in a workspace, but want to move to another area?
    Not a problem. We understand that your business needs can change so we will happily move your dedicated desk to another location, for free.
  • What’s the difference between a coworking dedicated desk and hot-desking in a coworking area?
    With a coworking dedicated desk, you have a desk dedicated to you, that's yours to use every day in a workspace you choose. You can keep your belongings and computer equipment there too. Hot-desking in a coworking area means you have access to a desk within a workspace, but you can change which desk you use every time you go. Whichever option you choose, you can work in an open-plan area or a shared office space.
  • My team is growing – what if I need more than a couple of desks?
    Our coworking space is best suited to smaller teams who only need a few desks. As your business grows you may prefer to switch to a private office space, which you can shape to suit your needs. But if you prefer coworking, we can accommodate.
